Private Client Secretary

Job Introduction

We are looking for a PA/Secretary to join the Private Client department in our Watford office.The successful candidate will be giving support to fee earners and will take responsibility for admin tasks and liaise with clients as necessary.

 

Role Responsibility

Your main responsibilities would be as follows:  

Typing

  • Audio and copy typing 

Filing

  • Both electronic and paper

Travel arrangements

  • Checking appropriate train times
  • Ordering tickets in advance to enable most cost effective tickets to be purchased
  • Booking hotel accommodation
  • Producing the agenda for meetings

Diary management

  • Liaising with clients/intermediaries to arrange meetings/appointments

Client Contact

  • Contacting clients/intermediaries to obtain relevant information or documentation to assist fee earners to deal with enquiries
  • Building up a rapport with clients and intermediaries

Archiving

  • Preparing draft letters to clients advising files to be closed
  • Preparing files ready to be archived
  • Producing file closure checklist & archiving form
  • Producing schedules of files to be archived (where appropriate)

General duties

  • Becoming familiar with all standard marketing material for the department and gaining an overall knowledge of the other areas of legal work VWV covers, to assist with referral to Clients/new enquiries to the relevant department
  • Being familiar with the content of any marketing information sent to clients advising them of seminars/events being offered in case enquiries about such come through directly to the department rather than Marketing
  • Opening new files, ensuring files are Lexcel compliant and assisting with money laundering procedures to make sure client ID correctly established
  • Monitoring of e-mail inbox for fee earners who are absent from office
  • Assisting with the production of marketing material and seminar notes
  • Producing billing guides and billing report printouts to enable bills to be produced monthly
  • Liaising with other support teams, i.e. Reception/Business Centre/Marketing/Knowledge Centre where necessary
  • Attending team/departmental meetings and (when requested) taking minutes and circulating to attendees

The Ideal Candidate

You will have:

  • Secretarial experience and the ability to provide PA style support to a team of fee earners from partner level to trainee solicitor level
  • The ability to prioritise own workloads when busy
  • Excellent typing skills
  • A professional telephone manner, with the ability to engage with clients
  • A full working knowledge of Microsoft Word and a range of other IT packages
  • Familiarity with the Private Client sector
